Administrative Assistant – Office

Job Description/Tasks and Responsibilities:

The tasks and responsibilities of the Administrative Assistant position include working with and supporting the business counsellors and other staff of the Elgin Business Resource Centre (EBRC). The participant will ensure that all clients and visitors to EBRC are greeted in a safe, timely and professional manner and guided to the appropriate office, program, or person, answer the phone and provide general information concerning all programs of EBRC. The participant will capture client contact data, provide clerical support to staff, create forms and spreadsheets as requested, sort and distribute mail throughout the building, maintain TV loop, ensure files are up to date, and book meeting room for internal meetings as well as for guests. Perform general maintenance for photocopier, record and report all general maintenance concerns throughout the building and ensure lobby and resource area is neat, sanitized and all literature is up to date. General sorting, organizing, and light cleaning will be required. The administrative assistant position requires constant interaction with the public as they enter the office and regular interaction by telephone or e-mail. The assistant may be called on to represent the organization at events outside the office and outside office hours. If the Administrative Assistant works remotely, the General Manager and Assistant General Manager will assign relevant work that the participant can accomplish remotely. This will include assistance with social media. A second part of the role will be to help with workshops or special events planned during the applicant’s term of employment. This may include assisting the Community Engagement / Business Advisor to identify potential workshops offered by EBRC and participates in the actual organization of the event. Other duties may be assigned as needed.
